The hospitality staff app: what your team should be able to do from their phone

Updated 24 October 2026 · 5 min read · By the ShiftComplete team

The short answer

A good hospitality staff app lets every team member see their rota, set their availability, complete their checks, look up allergens and read team updates from their own phone, without a download or a training day. ShiftComplete does all of that in the browser on any phone, tablet or computer, and gives managers the rota builder, records and reports behind it, for £1.49 per staff member a month after a 60-day free trial with no card.

  6. Who it's for

Most hospitality teams already run on their phones. The rota's a photo in a group chat, the cover requests are WhatsApp messages at 3pm, the allergen chart is a laminated sheet that's three menus out of date, and the temperature log is a clipboard someone filled in at the end of the night.

A hospitality staff app should pull that into one place your team actually opens. Not a heavy HR system they log into twice a year, but the thing they check before every shift.

What a good hospitality staff app should do

Judge any staff app on what it lets a bartender, waiter or commis chef do in under a minute, on their own phone, before a shift.

1. Show my rota

The first thing anyone wants: when am I on, where am I working, and has anything changed? A published rota should land on every phone, with the area (Bar, Floor, Kitchen) for each block.

2. Let me say when I can work

Availability should come from staff, not be guessed by the manager. Weeks ahead, with room for "partial" and a note, because hospitality life is "free till 5 on Tuesdays".

3. Let me do my checks

Opening, closing and cleaning checks, ticked on a phone or the tablet behind the bar, with a photo where it matters. Each tick should carry a name and a time, so nobody has to fill in a sheet retrospectively.

4. Let me log a temperature

Fridge, freezer and hot-hold readings, logged in seconds, with anything out of range flagged to a manager straight away.

5. Let me answer an allergen question

A customer asks if the pesto has nuts. The server should be able to search the menu on their phone, not run to the pass.

6. Tell me what's changed

New menu, new opening hours, a VIP booking on Saturday. Announcements that live somewhere other than a group chat that's 400 messages deep.

7. Let me clock in

Clock in and out on my phone or the shared tablet, so my hours are right without a paper timesheet.

8. Let me ask for time off

Request holiday from my phone and see when it's approved, instead of mentioning it at the end of a shift and hoping.

9. Let me report a problem

The glass-washer's leaking, someone slipped by the toilets. Logging it should take seconds and include a photo.

And for managers

Behind the staff side, managers need to build the rota, see labour cost, keep records an EHO asks to see, and get a weekly picture of how the venue's running.

How ShiftComplete works for your team

ShiftComplete is the everyday operations and team-scheduling app for UK pubs, restaurants, cafés, bars and hotels. It runs in the browser, so there's nothing to install.

For staff, on their phone:

  • My rota. Published shifts appear on every staff member's phone, with up to four time blocks a day and the area for each one. The rota can be emailed too.
  • Availability. Mark each day available, partial or off, weeks ahead, with a note.
  • Clocking in and out. If you switch on time tracking, staff clock in and out on their phone or the shared tablet. There's no GPS tracking or facial recognition.
  • Holiday requests. Staff request holiday from their phone for a manager to approve (a setting you turn on).
  • Checklists and daily routine. Opening, closing, cleaning and due-diligence checks that change by weekday, plus one-off priority tasks. Every tick is named and timestamped, with optional or required photo evidence. A 2am close still counts as "today".
  • Temperature logs. Each fridge, freezer, hot-hold and ambient point has its own range; readings take seconds and out-of-range ones are flagged.
  • Allergens. Every menu item mapped to the 14 UK allergens, grouped by course and searchable from the floor. Only managers can edit.
  • Announcements. Team updates in one place, so they don't get lost in WhatsApp.
  • Incidents and maintenance. Logged with a photo and severity in seconds.

For managers:

  • A draft rota in seconds. Add events for busy days, weight the people you want on, and ShiftComplete builds a draft rota that's fair across the team. Drag, adjust, publish.
  • Labour cost as you build, holidays recorded, fixed weekly schedules for people on the same shifts every week, and day notes on the rota.
  • Hours worked against the rota, with hours downloadable as a spreadsheet with a total per person to hand to payroll. ShiftComplete doesn't do payroll itself.
  • Dashboard and reports. Out-of-range temperatures, open incidents and maintenance on the dashboard; a weekly rollup of task completion, temperature breaches, incidents and maintenance backlog; a full audit log with CSV export.
  • Risk assessments created, kept and printed in the app.
  • Multi-site. Switch venues, a group dashboard, area-manager roles and unlimited managers. Staff can work across more than one venue in the group.

Getting your team to actually use it

A staff app only works if people open it. What helps:

  • Make it the only place the rota lives. If the rota still goes in the group chat as well, nobody needs the app.
  • Ask for availability before you build. The first time staff see their availability reflected in the rota, they keep updating it.
  • Put a tablet where the checks happen. Behind the bar and in the kitchen, so the closing checks get done on the spot.
  • Use announcements for anything that matters. Menu changes, rota changes, policy changes. Keep the group chat for banter.
  • Add it to your induction. Our staff induction checklist has a slot for setting new starters up on day one.

What an operator says

"The rota stopped being a Sunday-night argument the week we switched over. The chef stopped being the only person who knows what's in the kitchen. And the EHO turn up to a screen, not a box file."

Frequently asked questions

What is a hospitality staff app?

It's the app your front-of-house, bar and kitchen team use on their own phones to see their rota, tell you when they can work, complete opening and closing checks, log temperatures, look up allergens and read updates from management. The manager side builds the rota and keeps the records.

Do staff need to download anything to use ShiftComplete?

No. ShiftComplete runs in the web browser on any phone, tablet or computer, so staff open a link and sign in. There's nothing to install, which matters when a new starter joins on a Friday and needs to see their shifts that night.

Can staff use their own phones for work apps?

Many venues do, but some staff won't want to. ShiftComplete works on a shared tablet behind the bar or in the kitchen too, so checks and temperature logs can be done there, and the published rota can also be emailed. Whatever you choose, agree it with your team rather than assuming.

How much does a staff app for a pub or restaurant cost?

ShiftComplete costs £1.49 per staff member per month, every feature included, with no per-site fee and no contract. A team of 15 is £22.35 a month. It's free for 60 days, you don't need a card to start, and you can remove staff any time.
