Restaurant management software for UK small businesses: what you actually need
Restaurant management software isn't one product. For a UK small business it usually means five categories: EPOS (tills and payments), table bookings, rotas and HR, food-safety records, and stock and recipes. Most independents need a till first, then rotas and food safety. ShiftComplete covers rotas plus food-safety and venue records in one app for £1.49 per staff member a month; it deliberately doesn't do tills, bookings, stock or payroll.

Search for "restaurant management software" and you'll get till companies, booking systems, rota apps and stock tools all claiming the title. That's because it isn't one thing. It's a stack of separate jobs, and a small restaurant rarely needs all of them on day one.
This guide breaks it into the five categories that matter to a UK independent, what each does, rough costs where suppliers publish them, and how to decide what to buy first. We'll also be straight about where ShiftComplete fits and what it deliberately doesn't do. Supplier details are as of October 2026, checked on their own websites and linked in the sources.
The five categories of restaurant software
1. EPOS: tills, payments and sales
Your till is the one thing you can't open without. Modern EPOS runs on a tablet or terminal, takes card payments, sends orders to the kitchen and reports sales by item and hour.
Two examples with published UK pricing, as of October 2026:
- Square for Restaurants has a Free plan at £0 a month plus processing fees (1.75% in person), a Plus plan at £69 a month per location with a 30-day trial, and Premium on custom pricing. Its Shifts rota tool is free for up to five team members on the Free plan.
- Lightspeed Restaurant lists Basic at £79 a month, Core at £149 and Pro at £219, with inventory management included on Core and Pro, and workforce and payroll available as add-ons.
What to look for: card fees you understand, a kitchen display or printer that works with your kitchen, and sales reports you'll actually read.
2. Table bookings
If you take reservations, a booking system replaces the diary, takes online bookings, and can cut no-shows with confirmations and deposits. ResDiary is one UK-focused example; it describes itself as a restaurant booking system "built for busy operators" and says it charges no reservation fees.
What to look for: online booking from your own website, deposits for big tables, and a clear view of covers so you can staff to them.
3. Rotas and HR
This is where the hours go. Rota software collects staff availability, builds and shares the weekly rota, tracks holidays and shows labour cost. Some go further into clocking in, HR records and payroll.
As of October 2026, examples include RotaCloud (from £10 a month for 1-5 employees, rising in bands, with clocking in as an add-on) and Bizimply (rotas, time and attendance, HR, payroll options and tronc, with pricing on request). For more, see our round-up of restaurant staff rota software.
What to look for: split shifts, staff availability on their phones, labour cost while you build, and a price that stays sensible as you grow.
4. Food-safety records
GOV.UK says every food business needs a food safety management system based on HACCP principles, with records of checks and corrective actions. In practice that means daily temperature logs, opening and closing checks, cleaning, allergen information for every dish, and incident records. Paper works; an app makes it quicker and easier to show an inspector.
Examples include Trail (from £38 a month per site, as of October 2026) and others in our round-up of the best food safety apps in the UK.
What to look for: quick logging on a phone, out-of-range alerts, the 14 allergens per dish, and a week of records you can show in seconds.
5. Stock, recipes and costing
Stock software tracks deliveries, counts and wastage, and costs each dish from its ingredients so you know your GP. Kafoodle covers recipe and menu management, allergen labelling, nutrition and stock and ordering, with a free trial; and some EPOS plans, like Lightspeed's Core and Pro, include inventory.
What to look for: recipe costing that updates when supplier prices change, and stock counts quick enough that someone will actually do them.

Where ShiftComplete fits
ShiftComplete covers two of the five categories, rotas and food-safety records, in one app built for UK pubs, restaurants, cafés, bars and hotels. It runs in the browser on any phone, tablet or computer.
Rotas: staff set availability on their phones weeks ahead. You add events (a 30-cover party on Saturday, a quiet Monday) and weight the people you want on, and ShiftComplete builds a fair draft rota in seconds. Split shifts with up to four blocks per person per day, custom areas like Kitchen, Floor and Bar, day notes, holidays and labour cost while you build. Publish to everyone's phone or by email. Switch on clocking in and staff clock in and out on their phone or the shared tablet, with hours downloadable as a spreadsheet.
Food safety and the venue: temperature logs with per-unit ranges and breach flags, the 14 UK allergens for every menu item searchable from the floor, opening, closing and cleaning checklists by weekday with photo evidence, incidents and maintenance, risk assessments, team announcements, a weekly report and an audit log with CSV export.
Price: £1.49 per staff member per month, every feature, no per-site fee, no contract. A restaurant with 18 staff pays £26.82 a month. Free for 60 days, no card.
What ShiftComplete deliberately doesn't do
We'd rather you know now:
- No till or payments. Keep your EPOS.
- No table bookings.
- No stock or recipe costing.
- No payroll, and no integrations with tills, payroll or accounting software. It does have basic clocking in (phone or shared tablet) with an hours spreadsheet you can hand to payroll, but no GPS or geofencing.
- No HACCP plan writing. It keeps the daily records; your plan is still yours.
Staying focused is what keeps it simple enough to set up in about five minutes and cheap enough at £1.49 a head.
"The rota stopped being a Sunday-night argument the week we switched over. The chef stopped being the only person who knows what's in the kitchen. And the EHO turn up to a screen, not a box file." Graeme Kirkham, Owner, The Lounge Oswestry & Knock & Snitch
Questions to ask any supplier
Before you sign up to anything in any of the five categories:
- What's the total monthly cost at my size? Include card fees, add-ons, extra devices, per-site fees and set-up charges.
- Is there a contract, and how long? Some suppliers bill monthly; others run 12-month terms.
- Can I try it with real services? A free trial you can run through a busy weekend tells you more than any demo.
- Does it work on the devices I have? Tablets, staff phones, the office laptop.
- Who helps me set it up? And how long until it's working for real?
- Can I get my data out? If you move on, you'll want your records.
A sensible order to buy in
- EPOS before you open.
- Food-safety records from day one, paper or app.
- Rotas once you have more than a handful of staff or split shifts.
- Bookings if reservations are a big part of trade.
- Stock and costing once you want tighter control of GP.

Frequently asked questions
What is restaurant management software?
It's a catch-all term for the software that runs a restaurant: the till and payments (EPOS), table bookings, staff rotas and HR, food-safety records, and stock and recipe costing. Some suppliers bundle several together; most small restaurants use two or three separate tools that each do one job well.
What software does a small restaurant need first?
A till that takes card payments, because you can't trade without one. After that, most small restaurants get the most from a rota app (it saves hours every week) and a food-safety app (temperatures, allergens and checks every day). Bookings software matters if you take reservations; stock software pays off as your menu and spend grow.
Is there one system that does everything?
Some EPOS suppliers offer add-ons that stretch into staff scheduling and inventory; for example, Lightspeed's UK restaurant plans include inventory on its Core and Pro plans and offer workforce and payroll through add-ons, as of October 2026. All-in-one can be convenient, but check each part is good enough for how you work rather than buying a bundle for one feature.
Does ShiftComplete connect to my till?
No. ShiftComplete has no EPOS, payroll or accounting integrations. It's the everyday operations and rota app: availability, a draft rota with labour cost, temperature logs, allergens, checklists, incidents, maintenance and risk assessments. It runs in the browser alongside whatever till and booking system you already use.
