A rota and compliance app for UK hospitality, in one place

The short answer

A rota and compliance app puts staff scheduling and the day-to-day records a venue keeps into one place: rotas, temperature logs, allergens, opening and closing checks, incidents and maintenance. ShiftComplete does this for UK pubs, restaurants, cafés, bars and hotels for £1.49 per staff member per month, free for 60 days with no card needed. It helps you keep the records an EHO asks to see, and you stay responsible for meeting the rules.

Most venues run two systems without meaning to. The rota lives in one app, a spreadsheet or a WhatsApp group. The records live on clipboards, in folders and in a box file in the office. When an EHO walks in, or a manager goes on holiday, you find out how well that really works.

A rota and compliance app brings the two together, so the same phone your team uses to see their shifts is the one they use to log the fridge temperature and tick off the closing checks.

ShiftComplete does this for £1.49 per staff member per month, with every feature included. It's free for 60 days and you don't need a card. Start your free trial.

What one app covers

Job How it works in ShiftComplete
Rotas Staff set availability on their phones, you get a draft rota in seconds, then adjust it and publish it to every phone
Shift swaps Staff swap or give away a shift, a colleague accepts and a manager approves
Clocking in Staff clock in on a phone or shared tablet, and hours download as a spreadsheet
Temperature logs Every fridge, freezer and hot-hold point has its own range, and out-of-range readings are flagged
Allergens Every menu item is mapped to the 14 UK allergens and can be searched from the floor
Daily checks Opening, closing and cleaning checks can differ by weekday and can require a photo
Incidents and maintenance Logged in seconds with a photo, a severity and a status
Risk assessments Created, kept and printed in the app
Staff files and training A training matrix and staff files you can switch on in Features
Reports A weekly rollup, plus a full audit log with CSV export

Every entry is named and timestamped, so you can see who did what and when.

Why it helps to have it all in one place

Your team only learns one app. Part-timers and students won't keep several logins going. If the rota is where they already look, the checks get done there too.

Gaps show up quickly. A missed closing check or a warm fridge appears on the dashboard, rather than turning up weeks later in a folder.

Records stay with the venue. When a manager leaves, the history stays where it is.

It costs less than it sounds. Separate tools for rotas and food safety usually mean two bills. With ShiftComplete, a venue with 20 staff pays £29.80 a month for everything.

What the day looks like

Morning. The opening manager checks Today on their phone. The checks for that weekday are waiting, and each tick records who did it and when. Fridge and freezer readings go in as they're taken, and anything out of range shows on the dashboard so it can be dealt with.

During service. Front-of-house staff search a dish and see its allergens, rather than running to the kitchen for a folder. If a glass-washer breaks or someone has a fall, it's logged with a photo before the details fade.

Closing. The closing checks are ticked off, including late finishes: a 2am close still counts as that trading day.

Sunday night. Instead of rebuilding the week from messages, you open a draft based on who's available, add the events that need extra cover, check the labour cost and publish it. Everyone sees their shifts on their phone.

When an EHO visits

An inspector wants to see that you know your risks and that your checks actually happen. Having the records in one place means you can show temperature history, cleaning checks, allergen information and incidents from a phone or tablet, rather than hunting through folders. It doesn't guarantee a hygiene rating, because that depends on what the officer finds in the kitchen and how the business is run.

What it doesn't do

It's better to know now than in month two. ShiftComplete doesn't run payroll or connect directly to payroll software, though hours download as a spreadsheet. It doesn't use wireless temperature probes, so staff log readings themselves. It isn't a till or a stock system.

No app makes a business compliant on its own. ShiftComplete helps you keep the records an EHO asks to see, and you stay responsible for meeting the rules. It isn't approved or endorsed by the FSA, EHOs or any local authority.

Try it on your own venue

Set-up takes about five minutes. Add your venue and your team, then build your first rota. If something you need is missing, tell us during the trial: building it around how you work is what the 60 days are for.

Frequently asked questions

What is a rota and compliance app?

It's one app that handles staff scheduling and the records a venue has to keep, so you aren't running a rota tool, a clipboard for temperatures and a folder for allergens side by side. ShiftComplete covers rotas, availability, clocking in, temperature logs, the 14 allergens, daily checks, incidents, maintenance and risk assessments.

Does a compliance app make my business compliant?

No app can do that on its own. It gives you a clear way to keep records and spot problems, but you're still responsible for following the rules. ShiftComplete helps you keep the records an EHO asks to see, with each entry named and timestamped. It isn't approved or endorsed by the FSA, EHOs or any local authority.

How much does a rota and compliance app cost?

ShiftComplete is £1.49 per staff member per month with every feature included, no per-site fee and no contract. A venue with 20 staff would pay £29.80 a month. It's free for 60 days and you don't need a card to start.

Can it warn me about rest breaks and the 48-hour week?

ShiftComplete warns managers when a shift swap would double-book someone, leave them short on rest or take them over 48 hours. You still need to check the rota against the rules, including any opt-outs and young workers.

Does it keep right to work and training records?

Staff files and a training matrix are built in and can be switched on in Features. They're on by default for care homes and home care, and any business can use them. You still carry out the right to work checks yourself.

What if something we need is missing?

Tell us during your 60-day trial. Building the app around how your venue works is what the trial is for, so we'll adapt the set-up and build what's missing where we can.
