Bakery staff rota: one app for the bakehouse, the shop and the early starts
A bakery staff rota has to cover two different days: a bakehouse that starts before dawn and a shop counter that runs to late afternoon. ShiftComplete puts both on one rota with areas such as Bakehouse, Shop and Packing, builds a fair draft from staff availability, and keeps your allergen matrix and fridge temperatures in the same app. It's £1.49 per staff member a month after a 60-day free trial with no card.
On this page
A bakery runs two businesses under one roof. The bakehouse starts in the dark: ovens on at 4, first bake out by 6.30, wholesale orders packed and gone before most people are awake. The shop opens at 7.30 and trades until the shelves are empty. Different people, different hours, different skills, and usually one owner trying to rota both on a Sunday afternoon.
Get it wrong and you find out at 4.10am, when a baker who thought they were on the late shift doesn't appear and there are 200 rolls owed to a café by 7.
Why bakery rotas are harder than they look
- Two shapes of day. Bakehouse shifts start between 2am and 5am and finish by early afternoon. Shop shifts follow trading hours. A single grid with one start time per person doesn't fit.
- People who cross over. The baker who finishes at noon and does an hour on the counter. The shop manager who comes in at 5 to finish the croissants. That's two jobs in one day.
- Night work rules. Under GOV.UK guidance, a night worker is someone who regularly works at least 3 hours in the night period, which by default is 11pm to 6am. A regular 3am start makes a baker a night worker: they must not average more than 8 hours in any 24, and you must offer a free health assessment before they start night work.
- Rest between shifts. Adults are normally entitled to 11 hours' rest between working days. A baker who covers a 6pm shop close and is back for a 4am bake gets 10.
- Saturday juniors. Bakeries love a Saturday junior, but GOV.UK says 16 and 17-year-olds cannot work between midnight and 4am and usually can't work between 10pm and 6am. Some sectors, including retail and hotels or catering, have exceptions, so check before you put a junior on an early shift. Our young workers guide has more.
- Seasonal peaks. Christmas orders, Easter hot cross buns, wedding cake season. Extra hands for a few weeks, then back to normal.
How ShiftComplete runs a bakery rota
Areas for every part of the bakery
Set up your own areas: Bakehouse, Pastry, Shop, Packing, Deliveries. Every block on the rota shows the area, so the 4am team and the 7.30 counter team sit on one rota without confusion.
Up to four blocks a day
Each person can have up to four time blocks a day. "4 to 11 Bakehouse, 11.30 to 1 Shop" is one line, not two rotas and a sticky note.
Availability before you build
Staff set their availability from their phones weeks ahead: available, partial or off, with a note ("can't do before 5am", "college Tuesdays"). Holidays are recorded so nobody gets rota'd on a day they've booked off.
Events for big orders and busy days
Add an event when you know a day will be heavy: "Wedding order, 3-tier, +1 Pastry 5am", "Christmas Eve, +2 Shop". The draft rota adds the cover.
A fair draft, then you fine-tune
Weight your most experienced bakers onto the early starts that can't go wrong, and ShiftComplete builds a draft rota in seconds, fair across the team so the 3am starts don't all land on one person. Drag shifts to adjust, then publish. Everyone sees their shifts under My rota on their phone, and you can email the rota too.
Labour cost while you build
Labour cost shows as you build. When December means extra shop staff, you'll see what that week costs before you commit.
Fixed schedules and clocking in
Most bakers do the same early pattern every week. Give them a fixed weekly schedule and only rota the shop team around them. Switch on time tracking and the bakehouse clocks in and out on the tablet by the door at 4am, or on their own phones, so you see hours worked against the rota and can download them as a spreadsheet with a total per person for payroll. Staff can request holiday from their phone for you to approve, which matters when nobody else can cover the 4am bake.
Day notes
"Flour delivery 6am, side door", "Oven engineer 1pm", "Bake 40 extra sourdough for the market". Put it on the day and everyone sees it.
Allergens and temperatures, where bakeries get caught out
Bakeries handle more of the 14 UK allergens than most food businesses: cereals containing gluten, eggs, milk, nuts, sesame, sometimes lupin and soya. ShiftComplete keeps that under control alongside the rota:
- Allergen matrix for every product. Map each loaf, cake, pastry and sandwich to the 14 allergens, grouped how you like (breads, pastries, celebration cakes). Shop staff can search it when a customer asks; only managers can edit. If you sell food prepacked for direct sale, read our Natasha's Law guide, and use our allergen matrix template to get started.
- Temperature logs. Set up the cream-cake display, walk-in, freezer and any ambient points with their own ranges. Readings take seconds on a phone or tablet, and out-of-range ones are flagged on the dashboard, with a 7-day view for an EHO visit.
- Checklists by weekday. Bakehouse opening, mixer and slicer cleaning, shop close. Each tick is named and timestamped, with photos where needed.
- Maintenance and incidents. A deck oven element gone or a burn from a tray, logged with a photo and severity and tracked until resolved.
What it costs
£1.49 per staff member per month, every feature included. No per-site fee, no contract, and you can remove staff any time, so the extra Christmas team costs nothing once they've gone.
| Bakery | Staff | Monthly cost |
|---|---|---|
| Micro-bakery with a counter | 5 | £7.45 |
| High-street bakery | 15 | £22.35 |
| Bakehouse plus two shops | 28 | £41.72 |
Free for 60 days, no card needed. Set-up takes about five minutes, and there's a free 15-minute set-up call if you want one.
From an operator who switched
"The rota stopped being a Sunday-night argument the week we switched over. The chef stopped being the only person who knows what's in the kitchen. And the EHO turn up to a screen, not a box file."

Who it's for
- Artisan and craft bakeries with a small bakehouse and a busy counter.
- Café-bakeries that bake on site and serve all day.
- Wholesale bakeries with a shop, where the early team and the retail team need one view.
- Multi-shop bakeries baking centrally and staffing several counters. Switch between venues in the app, and staff can work across more than one shop in the group.

Frequently asked questions
Are bakers who start at 3am night workers?
Under GOV.UK guidance, someone who regularly works at least 3 hours in the night period is a night worker. The default night period is 11pm to 6am, so a regular 3am start counts, while a 4am start gives only 2 hours. Night workers must not average more than 8 hours in 24 and must be offered a free health assessment.
Can a 16 or 17-year-old work an early shift in a bakery?
GOV.UK says 16 and 17-year-olds cannot work between midnight and 4am, and usually cannot work between 10pm and 6am (or 11pm to 7am by contract). There are exceptions for some sectors, including retail and hotels or catering, so check whether your business falls into one before rota-ing a junior before 6am.
How do I rota bakers and shop staff together?
Set up areas for each part of the business, such as Bakehouse, Shop, Packing and Deliveries. In ShiftComplete each time block carries an area, so one rota shows who is baking at 4am and who is on the counter at 8, and anyone working both gets two blocks on the same day.
How much does a bakery rota app cost?
ShiftComplete is £1.49 per staff member per month with everything included and no per-site fee. A bakery with a 5-person bakehouse and 10 shop staff pays £22.35 a month. It's free for 60 days with no card needed, and there's no contract.
