A rota app for bars that copes with late closes, match nights and student availability

Updated 24 October 2026 · 6 min read · By the ShiftComplete team

The short answer

A good rota app for bars collects staff availability on their phones, lets you add extra cover for busy nights like live sport or a DJ, and builds a fair draft rota you can tweak and publish in minutes. ShiftComplete does this in the browser with nothing to install, shows labour cost as you build, and costs £1.49 per staff member a month after a 60-day free trial with no card.

Bar rotas are hard for reasons a spreadsheet doesn't care about. Half your team are students whose lectures change every term. The football fixtures move for TV. Someone closes at 1am and is somehow down to open at 11. And every Friday afternoon there's a message in the group chat: "can anyone cover tonight?"

A rota app for bars should take the guesswork out of that. Not by adding more admin, but by turning what your team already tells you (when they can work) into a fair rota you can publish before the weekend starts.

Why bar rotas go wrong

Ask any bar manager and you'll hear about the same week:

  • Availability lives in your head. Who's got exams, who's away for a wedding, who "doesn't do Sundays". It's scattered across texts, a notebook and the back office whiteboard.
  • Busy nights aren't on the rota. The rota says Saturday, but it doesn't say Saturday is a 5.30pm kick-off with a DJ after. So you're short at 6pm and overstaffed at midnight.
  • The same people carry the late closes. Your best closer does every Friday and Saturday because it's easier, until they hand in their notice.
  • Late closes clash with early starts. A 1am finish and an 11am cellar shift leaves 10 hours between them. Adult workers are normally entitled to 11 hours' rest between working days (see our guide to UK working time rules).
  • Labour cost is a surprise. You only find out you ran a 34% labour week when the wages go through.

What a good bar rota app should do

Before you pick one, check it does these five things:

  1. Staff set their own availability from their phone, weeks ahead, with a note ("free after 6, lectures till 5").
  2. Busy nights are part of the rota, so a match, quiz or private hire automatically means more people on.
  3. It builds a draft for you and spreads the late closes fairly, while still letting you weight your strongest people onto the nights that matter.
  4. Staff see it on their phone the moment you publish, without downloading anything.
  5. You can see the labour cost while you're building, not after.

How ShiftComplete builds a bar rota

Availability from every phone

Each person opens ShiftComplete in their phone browser and marks days as available, partial or off, weeks in advance, with a note. Students can block out exam weeks in one go. You stop chasing and start with real information.

Events for the nights that matter

Add an event to any day: "Saturday, Six Nations, +2 on the bar from 4pm", "Thursday quiz, +1 floor", "Private hire upstairs, 60 guests". When ShiftComplete builds the rota it adds the extra cover for that night.

A fair draft rota in seconds

Weight the people you want on the big nights (your fastest bartender for the match, your calmest head for the late close) and ShiftComplete builds a draft rota in seconds, fair across the team. Then drag shifts around until it looks right. You stay in charge; it just does the first draft for you.

Split shifts and areas

Each person can have up to four time blocks a day. Set up your own areas, such as Bar, Cellar, Floor, Glass collecting or Terrace, and every block shows where someone's working. So "Jess, 12 to 3 Bar, 6 to close Terrace" sits on one line instead of a scribbled footnote.

Day notes and holidays

Add a note to any day ("Keg delivery 9am", "Guest ale launch"). Record holidays so ShiftComplete doesn't rota someone who's off. If you switch on holiday requests, staff ask for time off from their phone and you approve it, instead of it being mentioned over the bar and forgotten.

Labour cost as you build

The labour cost updates as you move shifts. If Tuesday's looking heavy for a quiet night, you'll see it before you publish, not on payday.

Publish once, everyone sees it

Hit publish and the rota appears under My rota on every staff member's phone, and it can be emailed to staff as you publish. No more photos of a printed sheet in the group chat.

Clocking in and out

Switch on time tracking and staff clock in and out on their phone or the tablet behind the bar. You see hours worked against the rota, so the 11pm finish that became 12.40 after a slow cash-up shows up. Download the hours as a spreadsheet with a total per person to hand to whoever does your payroll. (ShiftComplete isn't a payroll system and doesn't connect to one.)

More than a rota: the rest of the bar's day

The rota is usually why bars start using ShiftComplete, but the same app runs the jobs around it:

  • Closing checks that respect late nights. Opening and closing checklists can differ by weekday, and a 2am close still counts as "today", so Saturday's close doesn't land on Sunday's sheet. Every tick is named and timestamped, with an optional photo of the locked cellar or the cleaned lines.
  • Fridge and glass-chiller temperatures logged on a phone or the tablet behind the bar, with out-of-range readings flagged on the dashboard.
  • Allergens behind the bar. Map every cocktail and bar snack to the 14 UK allergens so staff can check from the floor. Orgeat (almond syrup) in a mai tai or egg white in a sour is exactly what a customer will ask about.
  • Incidents and maintenance. A broken glass-washer, a slip on the dance floor or a customer refused service, logged in seconds with a photo and severity, and visible on the dashboard until it's resolved.
  • Team announcements for the new cocktail list or a change to last orders, so updates don't get lost in WhatsApp.

What it costs

ShiftComplete is £1.49 per staff member per month, with every feature included. There's no per-site fee, no contract, and you can remove staff at any time, which suits bars that swell in summer or freshers' week and shrink in January.

12 staff £17.88
20 staff £29.80

It's free for 60 days with no card needed. Set-up takes about five minutes, and you can book a free 15-minute set-up call if you'd like a hand. Teams of 100+ can talk to us.

What other operators say

Kirkham Hospitality runs The Lounge in Oswestry and Knock & Snitch:

"The rota stopped being a Sunday-night argument the week we switched over. The chef stopped being the only person who knows what's in the kitchen. And the EHO turn up to a screen, not a box file."

Who it's for

  • Sports bars where the fixture list decides the rota.
  • Cocktail bars with a small, skilled team you can't afford to burn out on closes.
  • Late-licence bars juggling 1am and 2am finishes against next-day opens.
  • Hotel bars and pub bars that share staff between bar and floor.

Frequently asked questions

What is the best rota app for a small bar?

For a small bar the best rota app is one your team will actually open. Look for availability set from staff phones, a draft rota you can adjust rather than build from scratch, labour cost on screen, and a price per head with no contract. ShiftComplete does all of that for £1.49 per staff member a month, with a 60-day free trial and no card needed.

Can bar staff see the rota on their phone without downloading an app?

Yes. ShiftComplete runs in the phone's web browser, so staff open a link and see their own shifts under My rota. There is nothing to download from an app store. You can also email the published rota, which helps for anyone who prefers to check their inbox.

How do I rota extra staff for a big match or event night?

Add the night as an event on the rota, for example 'Six Nations, +2 on the bar from 4pm'. When ShiftComplete builds the draft rota it allows for the extra cover and picks from the people who said they are available, so you are not texting round on Friday afternoon.

Can a bar rota app handle split shifts?

ShiftComplete lets you give each person up to four time blocks in a day, each tagged with an area such as Bar, Cellar or Floor. A bartender can do a lunch block, go home, and come back for the evening on the same day without you writing two separate rotas.

How much does a bar rota app cost?

ShiftComplete costs £1.49 per staff member per month with every feature included, no per-site fee and no contract. A bar with 12 staff would pay £17.88 a month. You can remove staff at any time, so the bill follows your team size through quiet months and summer peaks.
