Coffee shop staff rota: an app for early opens, part-timers and Saturday juniors
A coffee shop staff rota has to cover early opens, short shifts and a team of students and part-timers whose availability changes constantly. ShiftComplete lets baristas set availability on their phones, builds a fair draft rota in seconds, shows labour cost as you go and runs your opening checks and fridge temperatures too. It's £1.49 per staff member a month, free for 60 days with no card.

A coffee shop rota looks simple until you write one. You open at 7, the rush is over by 9.30, lunch is a second peak, and the afternoon can be dead or heaving depending on the weather. Your team is mostly students, parents doing school hours and a couple of Saturday juniors. Everyone's availability changes week to week.
The result is usually a rota redone three times, a photo of it in a group chat, and someone who didn't see the update turning up at 7 when they were moved to 10.
What makes a coffee shop rota different
- Early, short and stacked shifts. A 6.45 open for set-up, a 7 to 11 rush shift, a 11 to 3 lunch shift, a 2 to close. Four shapes of shift in one day, with only a few people.
- Availability that moves. University timetables change each term, school holidays change everything, and "partial" availability is the norm ("free until 1").
- One opener, one closer. In a small shop, the opener might be on their own for the first half hour. That person needs to be someone you trust with the till, the alarm and the machine.
- Under-18s on weekends. GOV.UK limits young workers to 8 hours a day and 40 a week, with a 30-minute break if they work more than 4.5 hours and 12 hours' rest between working days. Our guide to young workers has the detail.
- Thin margins. One extra person on a wet Tuesday afternoon is a real cost when most sales are a few pounds each.
How ShiftComplete handles a coffee shop rota
Availability that matches real life
Baristas mark each day as available, partial or off from their phones, weeks ahead, with a note: "free 7 to 1", "school run, nothing before 9.15". You build from facts, not memory.
Short shifts and split days
Give anyone up to four time blocks a day. Set up areas that fit your shop, such as Bar, Till, Kitchen and Floor, so a block reads "7 to 11 Bar" and the next "11 to 1 Till". Everyone knows where they're working before they arrive.
Fixed schedules for your regulars
The parent who always does 9.15 to 2.45, Monday to Friday, doesn't need rota'ing from scratch every week. Give them a fixed weekly schedule and build around them.
Events for the days you know will be busy
Farmers' market on the square, school sports day, a road closure that sends traffic past the door. Add it as an event ("Saturday market, +1 Bar 8 to 1") and the draft rota includes the extra cover.
A fair draft rota in seconds
Weight your trusted openers onto early shifts, then let ShiftComplete build a draft rota in seconds, fair across the team so the same student isn't always on the 7am. Drag things around and publish. It shows under My rota on every phone, and you can email it.
See labour cost before you publish
Labour cost updates as you build. If Wednesday afternoon has three on for a shop that takes very little after 3pm, you'll see it before you commit.
Clock in on the tablet by the till
Switch on time tracking and baristas clock in and out on their phone or the shop tablet. You see hours worked against the rota (the 7am opener who arrived at 6.40 to get the machine up to temperature, say), and you can download hours as a spreadsheet with a total per person for your payroll. Staff can also request holiday from their phone for you to approve, which helps when everyone wants the same week of the school holidays. Our guide to labour cost percentage helps you set a target.
Opening checks and fridge temps on the same tablet
Coffee shops run on routine, and ShiftComplete puts the routine on the tablet by the till:
- Opening and closing checklists that differ by weekday: machine flushed, grinders set, milk fridge checked, cakes labelled, floor done. Every tick is named and timestamped, and you can require a photo for the jobs that matter (the cleaned steam wand, the locked back door).
- Fridge temperatures for the milk fridge, cake display and under-counter units, each with its own range. Out-of-range readings are flagged on the dashboard. See fridge temperature rules.
- Allergens for every bake, sandwich and syrup, mapped to the 14 UK allergens. When someone asks if the banana bread has nuts, any barista can search it on their phone. Only managers can edit the list.
- Announcements for a new seasonal drink or a change to opening hours, so nobody misses it.
- Maintenance logs for when the espresso machine starts dripping, with a photo, so the engineer has the history.

What an operator says
"The rota stopped being a Sunday-night argument the week we switched over. The chef stopped being the only person who knows what's in the kitchen. And the EHO turn up to a screen, not a box file."

Who it's for
- Independent coffee shops where the owner still writes the rota.
- Café-bakeries and brunch spots with a kitchen and a counter to staff.
- Small chains of two or three shops that want one place for every rota (switch venues in one tap).
- New openings. If you're about to open, our how to open a café checklist covers the rest.

Frequently asked questions
How do I write a rota for a small coffee shop?
Start from your trading pattern, not your staff list: who you need at open, through the morning rush, at lunch and to close. Collect availability first, give each shift one clear opener and closer, and keep labour in line with takings. ShiftComplete builds a draft from availability and you adjust it before publishing.
Can 16 and 17-year-olds work in a coffee shop on Saturdays?
Yes. For young workers over school-leaving age but under 18, GOV.UK sets limits: no more than 8 hours a day or 40 hours a week, a 30-minute break if they work more than 4.5 hours, and 12 hours' rest between working days. Younger children have separate rules, including local council permits, set out in GOV.UK's child employment guidance.
Is there a free coffee shop rota app?
ShiftComplete is free for the first 60 days with no card needed, then £1.49 per staff member per month. A coffee shop with 8 staff pays £11.92 a month, with every feature included and no contract, so you can stop at any time.
Can baristas see the rota without downloading an app?
Yes. ShiftComplete runs in any phone browser. Once you publish, each barista sees their own shifts under My rota, and you can email the rota as well. Nothing to install and nothing to update, which helps when a new Saturday starter needs to see their first shift tonight.
