Sports club bar staff rota: a simple app for golf, cricket, rugby and tennis clubs

Updated 24 October 2026 · 5 min read · By the ShiftComplete team

The short answer

Sports and golf clubs need to staff a clubhouse bar and kitchen around fixtures, competitions and functions, mostly with seasonal casual staff and students home for the summer. ShiftComplete lets staff set availability on their phones, turns match days and functions into events with extra cover, builds a fair draft rota and shows labour cost, for £1.49 per staff member a month. Remove staff in the quiet season; it's free for 60 days, no card.

A clubhouse bar doesn't follow a normal hospitality week. A golf club is flat out on a medal Saturday in June and quiet on a frosty Tuesday in January. A cricket club needs teas and a bar for 1pm on match days, and nothing much midweek. A rugby club's bar does a season's worth of trade on a handful of home games, then hosts a presentation night, a wake and a 40th birthday in the function room.

And the team is often a mix: a bar manager or steward, a couple of long-serving part-timers, students home for the summer and members' sons and daughters picking up shifts. Rota'ing that on a printed calendar in the back office works until it doesn't.

Why club rotas are awkward

  • The fixture list drives everything. Competitions, league matches, junior sections, tournaments, all on different days.
  • Functions land on top. Weddings, wakes, quiz nights, Christmas parties and sponsors' days need their own cover.
  • Strong seasons. Summer needs two or three times the staff of winter for golf, tennis and cricket clubs; winter sports flip it round.
  • Casual and seasonal staff. For leave years starting on or after 1 April 2024 in England, Scotland and Wales, holiday for part-year and irregular-hours workers can be calculated as 12.07% of hours actually worked, with rolled-up holiday pay allowed. Northern Ireland has its own rules. See our holiday pay guide.
  • Junior staff. Under-18s are limited to 8 hours a day and 40 a week, with a 30-minute break after 4.5 hours and 12 hours' rest between working days. A long tournament day needs planning. Our young workers guide covers the rest.
  • The committee wants to see costs. Club finances are scrutinised. A bar that loses money on staffing gets noticed at the AGM.

How ShiftComplete builds a clubhouse rota

Fixtures and functions as events

Add each fixture or booking to the day it happens: "Club championship, 140 entries, +2 Bar, +1 Halfway house", "1st XI home, teas 4pm, +2 Kitchen", "Presentation night, 90 guests, +3 Function room". When ShiftComplete builds the rota it adds the cover.

Areas for every part of the club

Set up the areas your club actually has: Clubhouse bar, Halfway house, Kitchen, Function room, Terrace, Pro shop counter. Each time block shows where someone's working, so the student on the halfway house knows where to go at 8am.

Availability for students and casuals

Staff set availability on their phones weeks ahead: available, partial or off, with a note ("back from uni 14 June", "can do Saturdays only"). Record holidays so nobody gets rota'd during their fortnight away.

Split days on competition weekends

Each person can have up to four time blocks a day. "7.30 to 11 Halfway house, 4 to 9 Clubhouse bar" is one line. Use split shifts carefully with young workers, who need a 30-minute break once they pass 4.5 hours.

Fixed schedules for the steward and regulars

Your steward and long-serving part-timers probably work the same pattern every week. Give them a fixed weekly schedule and only rota the casuals around them. Staff can request holiday from their phone for you to approve.

A fair draft rota in seconds

Weight your steward and experienced bar staff onto the big days, and ShiftComplete builds a draft rota in seconds that shares the remaining shifts fairly. Drag things around, then publish. Everyone sees their shifts under My rota on their phone, and you can email the rota to anyone who prefers it, including the committee.

Labour cost for the committee

Labour cost shows while you build, so the bar manager can show that the presentation night's staffing is in line with its takings.

Clocking in on the clubhouse tablet

Switch on time tracking and staff clock in and out on their phone or the clubhouse tablet. You see hours worked against the rota, and can download hours as a spreadsheet with a total per person for the treasurer or whoever runs payroll. That's also the hours-worked figure you need for seasonal staff's holiday.

Running the clubhouse, not just the rota

Club bars are often run by a small team without a full-time GM, which is exactly when good records slip. ShiftComplete keeps them in one place:

  • Cellar and bar checks. Opening and closing checklists that vary by weekday, with line cleaning and cellar checks on the days they're due. Every tick is named and timestamped, with photos where you want proof. Our cellar management checklist is a good starting point.
  • Kitchen temperatures. Fridges, freezers and hot-hold for match teas and functions, each with its own range. Out-of-range readings are flagged on the dashboard, with a 7-day view for an EHO visit.
  • Allergens for function menus. Map every dish and buffet item to the 14 UK allergens, searchable by staff on their phones, editable only by managers.
  • Incidents and maintenance. A member's fall on the terrace steps, a leaking ice machine, a broken patio heater, logged in seconds with a photo, severity and resolution notes.
  • Risk assessments for the clubhouse and events, created, kept and printed from the app.
  • Announcements for the team: new opening hours for the winter, a change of beer supplier, the dress code for the captain's dinner.

Pricing that follows the season

£1.49 per staff member per month, every feature included. No per-site fee, no contract, and you can remove staff any time, so you only pay for the summer team in summer.

Club Season Staff Monthly cost
Golf club Summer 14 £20.86
Golf club Winter 6 £8.94
Rugby club Season 10 £14.90

Free for 60 days with no card. Set-up takes about five minutes; a free 15-minute set-up call is available if your steward or bar manager would like a hand.

What an operator says

"The rota stopped being a Sunday-night argument the week we switched over. The chef stopped being the only person who knows what's in the kitchen. And the EHO turn up to a screen, not a box file."

Frequently asked questions

How do golf clubs rota bar staff through the seasons?

Plan from the fixture and functions calendar, not a fixed weekly pattern. Keep a small core team all year, add students and casuals for spring and summer, and add cover for competition days and functions. In ShiftComplete each of those is an event on the rota, and you can remove staff when the season ends.

How does holiday work for seasonal club staff?

In England, Scotland and Wales, for leave years starting on or after 1 April 2024, holiday for part-year and irregular-hours workers can be calculated as 12.07% of hours actually worked in each pay period, and rolled-up holiday pay is allowed for them. Northern Ireland has its own rules. GOV.UK has the detail.

Can junior members work behind the clubhouse bar?

Young workers over school-leaving age but under 18 can work, within GOV.UK limits: 8 hours a day, 40 a week, a 30-minute break after 4.5 hours and 12 hours' rest between working days. Serving alcohol is controlled separately under licensing law, so check your club's licence conditions and the licensing rules where you are before putting a junior on the bar.

Do we pay for casual club staff over the winter?

Only if they're still on the system. ShiftComplete costs £1.49 per staff member per month with no contract, and you can remove staff at any time. A club with 14 staff in summer pays £20.86 a month, dropping to £8.94 with 6 over the winter.
