Staff scheduling for event and wedding venues: rota your casual team around the bookings

Updated 24 October 2026 · 5 min read · By the ShiftComplete team

The short answer

Event and wedding venues need to staff each booking from a pool of casual workers, often months ahead, with set-up, service and turnaround on the same day. ShiftComplete lets casual staff set availability weeks ahead from their phones, turns each booking into an event with the extra cover it needs, and builds a fair draft rota with labour cost on screen. It's £1.49 per staff member a month after a free 60-day trial, no card.

At an event or wedding venue the rota isn't really weekly. It's built around bookings: a 120-guest wedding on Saturday, a corporate dinner on Thursday, a wake on Tuesday at a day's notice. Each one needs a different number of people, and most of them are casuals who also work elsewhere.

So you end up with a spreadsheet of dates, a WhatsApp broadcast asking "who can do the 14th?", and a last-minute scramble when two people drop out the night before. On the day, the couple only notice one thing: whether the service ran smoothly.

The scheduling problem at events venues

  • Demand is lumpy. Summer Saturdays need 25 people; a January Wednesday needs 3.
  • Your team is casual. Students, freelancers, people with day jobs. They need to commit early, and you need to know who's actually free.
  • One day has several shifts. Morning set-up, ceremony drinks, wedding breakfast, evening bar, turnaround. The same person might do two of them.
  • Late finishes, early starts. The evening reception ends at midnight and the venue's back on for breakfast at 8 or a Sunday wedding at 10. Adult workers are normally entitled to 11 hours' rest between working days.
  • Holiday for casuals. In England, Scotland and Wales, for leave years starting on or after 1 April 2024, holiday for irregular-hours and part-year workers can be calculated as 12.07% of hours actually worked each pay period, and rolled-up holiday pay is allowed for them. Northern Ireland has its own rules. Our holiday pay guide explains more.
  • Cost per event. You quoted a package price months ago. If staffing creeps up, the margin disappears.

How ShiftComplete schedules an events team

Availability months ahead

Your bookings diary is set months in advance, and your casuals can match it. Staff mark days as available, partial or off from their phones, weeks ahead, with a note ("free after 4pm", "can do the evening, not the ceremony"). When you sit down to rota, you're picking from people who've already said yes.

Every booking is an event

Add each booking to the day it falls on: "Harris wedding, 120 guests, ceremony 1pm, +6 Floor, +3 Bar", "Charity ball, 200, +8 Floor". When ShiftComplete builds the rota, it adds that cover, so a quiet week and a three-wedding week both come out right.

Set-up, service and turnaround on one line

Each person can have up to four time blocks in a day. Create your own areas, such as Set-up, Ceremony, Drinks reception, Floor, Bar, Kitchen and Turnaround, and each block shows where someone's working. "10 to 1 Set-up, 4 to midnight Bar" is one person's day, visible at a glance.

Weight your leads

Every wedding needs someone who's done fifty of them. Weight your experienced leads and head waiters onto the big days, and ShiftComplete builds a draft rota in seconds that's fair across the rest of the pool, so your regular casuals get a fair share of the work.

Day notes for the running order

Use day notes for what the team needs to know: "Florist arriving 9am", "Speeches before the meal", "Top table: two nut allergies". Everyone sees them with their shifts.

Labour cost per day

Labour cost shows as you build, so you can check the wedding's staffing against what you quoted before you publish.

Clocking in and out for casuals

Weddings overrun. Switch on time tracking and staff clock in and out on their phone or the shared tablet at the staff entrance, so you see hours actually worked against the rota for every event. Download the hours as a spreadsheet with a total per person to hand to payroll. For irregular-hours casuals that matters twice over, because holiday can be worked out from hours actually worked. ShiftComplete doesn't run payroll; it gives your payroll person accurate hours.

Publish to every phone

When the rota's right, publish it. Each person sees their shifts under My rota on their phone, and you can email the rota for anyone who wants a copy. Use team announcements for briefings and dress code reminders instead of a group chat that half the casuals have muted.

Running the event safely, not just staffing it

The rota gets people in the building. The rest of ShiftComplete covers what happens once they're there:

  • Allergens for every menu. Map every canapé and course to the 14 UK allergens, grouped by course. Servers can search it on their phones mid-service; only managers can edit. Combine it with a day note naming the guests with allergies.
  • Temperature logs for the kitchen, cold rooms and hot-holding during service, with out-of-range readings flagged on the dashboard.
  • Set-up and close-down checklists that differ by day: Saturday wedding checks, Sunday turnaround, Monday deep clean. Every tick named and timestamped, with photos where you want proof of the room left right.
  • Incidents and maintenance. A guest trips on the dance floor, a marquee heater fails. Log it in seconds with a photo, severity and resolution notes.
  • Risk assessments for the venue and for specific set-ups, created, kept and printed in the app.

What an operator says

"The rota stopped being a Sunday-night argument the week we switched over. The chef stopped being the only person who knows what's in the kitchen. And the EHO turn up to a screen, not a box file."

Who it's for

  • Wedding venues and barns staffing summer Saturdays from a casual pool.
  • Hotels with function rooms that need banqueting cover on top of the normal rota, including groups where staff work across more than one venue.
  • Conference and events centres with irregular, booking-led demand.
  • Pubs and restaurants with private hire who want one rota for both.

Frequently asked questions

What is the best way to schedule casual staff for weddings?

Publish your confirmed dates early and ask casual staff to mark availability weeks ahead, then staff each wedding from the people who said yes. In ShiftComplete each wedding is an event on the rota with the extra cover it needs, and the draft rota picks from available staff, weighted towards your experienced leads.

How is holiday worked out for casual event staff?

In England, Scotland and Wales, for leave years starting on or after 1 April 2024, holiday for irregular-hours and part-year workers can be calculated as 12.07% of hours actually worked in each pay period, and rolled-up holiday pay is allowed for these workers. Northern Ireland has its own rules. See GOV.UK for the detail.

Can a venue rota someone for set-up in the morning and service at night?

Yes. ShiftComplete allows up to four time blocks per person per day, each tagged with an area such as Set-up, Ceremony, Bar or Floor. Bear in mind that adult workers are normally entitled to 11 hours' rest between working days, which matters after a late finish.

Do I pay for casual staff in the months they don't work?

ShiftComplete costs £1.49 per staff member per month and you can remove staff at any time with no contract. You could keep your core casuals on all year, remove occasional helpers in the quiet season and add them back when bookings pick up.
