When I Work is one of the most widely used shift-scheduling apps in the world, and it's easy to see why. It's quick to learn, staff like the app, and it puts scheduling, clocking in and team chat in one place. Plenty of UK venues found it through an app store and stuck with it.

UK operators usually start looking for an alternative for one of three reasons: pricing in US dollars, wanting something built around UK hospitality rather than shift work in general, or wanting the food-safety records in the same place as the rota. This page compares the two fairly. When I Work details are as of October 2026, checked on its own website and linked in the sources.

What When I Work does well

When I Work is headquartered in Minneapolis and serves restaurants, retail, healthcare, hospitality and many other industries. As of October 2026, its website lists:

  • Scheduling: build the schedule in minutes and share it instantly, with auto-scheduling, multi-week and multi-location scheduling, templates and forecasting tools on its Essentials plan.
  • Time clock: turn devices into time clocks, with GPS clock-ins and geofencing, tracking attendance, breaks and time off.
  • Team messaging: group and direct messages without sharing personal phone numbers.
  • Open shifts and shift swaps, which managers can review in seconds.
  • Payroll and POS integrations, with named payroll partners including Rippling, ADP, QuickBooks and Gusto.
  • Pro and Premium plans adding scheduling rules, role permissions, labour sharing, custom reporting, API access, webhooks and SSO.
  • Mobile apps on the App Store and Google Play, and a 14-day free trial with no credit card.

If you want clocking in, shift swaps and messaging in one well-known app, When I Work does that well.

Where ShiftComplete is different

ShiftComplete is built only for UK pubs, restaurants, cafés, bars and hotels. It's priced in pounds, and it puts your rota and your daily food-safety records in one app.

A rota built around hospitality

Staff set their availability on their phones weeks ahead: available, partial or off, with a note ("college Wednesdays"). You add events to the week (quiz night, a 40-cover private booking, a home match that needs two more on the bar), weight the people you want on, and ShiftComplete builds a draft rota in seconds, fair across the team. Drag shifts around, then publish to everyone's phone or by email.

It handles what hospitality rotas actually look like: split shifts with up to four time blocks per person per day, custom areas (Bar, Kitchen, Floor, Café) on every block, day notes like "Brewery delivery 8am", holidays recorded so nobody gets rota'd on a day off, and labour cost shown while you build.

Food-safety records in the same app

We didn't find food safety, temperature logs or allergens on When I Work's pricing page or homepage as of October 2026. ShiftComplete includes:

  • Temperature logs for every fridge, freezer, hot-hold and ambient point, each with its own range, logged in seconds and flagged if out of range.
  • Allergens: every menu item mapped to the 14 UK allergens, searchable by front-of-house.
  • Checklists for opening, closing and cleaning that differ by weekday, with named, timestamped ticks and optional photos.
  • Incidents and maintenance with photos, severity and status, and risk assessments you can print.
  • Team announcements, a weekly report and a full audit log with CSV export.

It helps you keep the records an EHO asks to see, without a separate app or a box file.

Comparing the cost

When I Work's FAQ says pricing starts at $2.50 per user per month for single-location teams and $5 for multi-location businesses, and it offers monthly or annual billing. Prices are shown in dollars, and we didn't find a UK price list, so ask When I Work what you'd pay in pounds. A 20-user team on Essentials would be $50 a month at the listed rate, before any currency conversion or tax.

ShiftComplete is £1.49 per staff member per month, so a 20-person team pays £29.80. Every feature is included, multi-site doesn't cost extra per site, and there's no contract.

What to test in a UK hospitality trial

Whichever app you try, put a real week through it, not a demo week:

  • A split shift. A chef on 11 to 3 and 5 to 11. Does it show clearly on their phone?
  • Areas. Can you see at a glance who's on the bar, the floor and the pass?
  • Events. Add your busiest night and see how easily you can put extra cover on it.
  • Holidays. Book someone off and check you can't accidentally rota them.
  • Labour cost in pounds. Enter real hourly rates and see the week's cost while you build.
  • The part-timers. Ask a student who works two shifts a week to set their availability. If they can do it without help, the rest of the team will too.

Who should stick with When I Work

When I Work is likely the better fit if:

  • You need GPS clock-ins or geofencing, or direct payroll integrations.
  • You rely on shift swaps and open shifts that staff manage themselves.
  • You use one of its payroll or POS integrations.
  • Your business isn't only hospitality, or you're happy with US-priced software.

Who ShiftComplete suits better

ShiftComplete is likely the better fit if:

  • You run a UK pub, restaurant, café, bar or hotel and want software built for that.
  • You want a draft rota built for you from availability and events.
  • You use split shifts and need areas on each block.
  • You want fridge temps, allergens, checklists and incidents in the same app as the rota.
  • You'd rather pay one price in pounds with every feature included.

"The rota stopped being a Sunday-night argument the week we switched over. The chef stopped being the only person who knows what's in the kitchen. And the EHO turn up to a screen, not a box file." Graeme Kirkham, Owner, The Lounge Oswestry & Knock & Snitch

Frequently asked questions

How much does When I Work cost in the UK?

As of October 2026, When I Work's pricing page shows Essentials at $2.50, Pro at $5 and Premium at $8 per user per month, in US dollars, with no UK or pound-sterling pricing shown. Its FAQ says the $2.50 rate is for single-location teams and $5 for multi-location businesses. Check with When I Work for UK billing. ShiftComplete is £1.49 per staff member per month.

Does When I Work handle UK rules?

When I Work is based in Minneapolis and its website is written for a US audience; the payroll tools it names (such as Gusto, ADP, QuickBooks and Rippling) are mainly US-focused. That doesn't stop it working for a UK rota, but UK-specific needs are worth checking in the trial. ShiftComplete is built for UK hospitality, in pounds.

Does When I Work have a time clock?

Yes. As of October 2026, When I Work offers time tracking and attendance with GPS clock-ins and geofencing, and its FAQ says every plan includes time and attendance. ShiftComplete has simpler clocking in: switch it on and staff clock in and out on their phone or the shared tablet, managers see hours against the rota and can download hours as a spreadsheet. It has no GPS or geofencing, so if that's essential, When I Work is a better fit.

Can I try ShiftComplete before cancelling When I Work?

Yes. ShiftComplete is free for 60 days with no card. Add your staff, ask them to set their availability, and build next week's rota in ShiftComplete while your current schedule runs. Set-up takes about five minutes, and there's a free 15-minute set-up call if you'd like help.
